We are looking to add a dedicated BILINGUAL Administrative Assistant to our team!

The hours for this position are Monday through Friday 7:00 am to 4:00 pm.

The Bilingual Administrative Assistant will be responsible for numerous aspects of day to day office functionality and support. This includes:

  • Maintaining a high level of professionalism with customers and working to establish a positive rapport with every customer
  • Answering telephone, filing, and organizing as needed
  • Operating office equipment and coordinates any required repairs to office equipment
  • Assisting in any company errands (bank deposits, post office, will-calls, etc.)
  • Maintaining adequate office supply of all department supplies used within the department and orders as needed when requested
  • Monitoring customer satisfaction levels and develop methods for increasing them
  • Scheduling all receiving appointments and making the necessary changes to the receiving calendar
  • Updating company database by inputting information from each call and keeping every customer field current
  • Providing updated pricing to the customer weekly via email
  • Running customer credit card for any payments submitted and sending payment information to Accounting department
  • Assisting in the consolidated invoicing, and process will call and direct ship invoicing
  • Working in tandem with Human Resources on payroll and personnel, with Purchasing on inventory inquiries & issues, and with Accounting on customer collections as well as other general office duties
  • Maintain information for two separate branches in multiple states
  • Performs additional duties and projects as assigned

  • 18 years of age or older
  • Must be Bilingual (English and Spanish)
  • Excellent verbal and written communication skills
  • Excellent detail-oriented customer service skills
  • Proficient in Microsoft Products – Word, Excel, Power Point and Outlook
  • Problem solver with the ability to multi task using judgment and decision making skills
  • Excellent detail-oriented customer service skills
  • Ability to work well with all levels of internal management and staff, as well as outside clients and vendors
  • Ability to multi-task in a fast paced work environment and handle information for multiple warehouses at once

Education/Training:High School Diploma/Bachelor’s degree preferred. Ability to read, write and communicate English relating to job and safety regulations. Must have basic math skills (add, subtract, multiply and divide). Two years’ of Administrative Assistant experience is required.

Knowledge/Skills/Abilities:Must be able to; learn and use software and equipment, perform all job functions safely and work scheduled times and possible overtime.

Physical Requirements:This job requires the worker to sit, stand, walk, push/pull, stoop/squat, kneel/bend, reach/grasp, drive and lift up to 50 lbs. This job requires the employee to be sedentary at their work station during the majority of their work shift. However, on occasion the employee will need to assist with product pulling and delivery.
